Proposal for Ecolab Institutional

Seneca writes the SOP for a job from a video of it, turns that SOP into training led by an AI trainer, and puts it on the associate's phone as a step by step guide while they do the work.

Someone who knows the job films it once, on a phone or smart glasses, talking through each step as they go. The video is uploaded to Seneca. About an hour later the SOP and the training course are ready to review, edit and send to the field.

Output
One video of the job

Filmed once by the person who knows the job, on a phone, a tripod or smart glasses, explaining what they are doing as they do it. Upload it to Seneca. Videos already recorded, such as the pallet tool footage or the PPE video, upload as they are.

1The SOP

Ready in about an hour. Overview, PPE, tools and hazard categories, then every step with a clip from the video, an annotated image, a warning, and the hazards and controls for that step.

2The training

An AI trainer takes the associate through the SOP one step at a time, asks a question at each step, checks the answer, and records a score and a sign off.

3The field tool

The SOP on the associate's phone, one step at a time, while they do the job. Set steps ask a question or need a photo. The associate can record the job, and Seneca checks the recording against the SOP.

1 Built from Ecolab's own video

Input: the development video of the pallet removal and transport tool for conveyor dish machines, uploaded as it was. Output, about an hour later: the SOP and the training course shown in this walkthrough.

Walkthrough of the output. Also online at screen.studio/share/O2brkk9E.

Edit anything

Every step, image, warning, PPE line and hazard can be changed. Goggles in place of glasses, a maximum load from engineering, a pinch point callout on the step it belongs to.

Own clips and images

Seneca clips the video to each step and annotates the stills. Clips can be trimmed, replaced or removed, and Ecolab's own images and annotations added.

Version control

Draft, in review, complete. Reviewers are assigned and notified, each approval creates a new version, and the history is kept.

What this changes for SOP writing

  • One video and about an hour of processing produces the full SOP. Engineering, training and tech services review a finished draft.
  • A new tool or job aid goes to the field with its SOP and its training in the same week.
  • Every SOP has the same structure, so PPE, warnings, hazards and controls appear on every step.
  • To update an SOP after launch, upload a new video of the job. Seneca compares it with the current version, flags the differences and suggests the safer step for the next revision.
2 Training led by an AI trainer

Every SOP in Seneca is also a training course. The course is a conversation with an AI trainer, taken on a laptop or a phone, at home or on site.

  • A conversation, one step at a time. The AI trainer walks the associate through the SOP with the video clip, the images and a 3D model of the equipment alongside. At each step it asks a question. The associate answers by voice or text, the trainer checks the answer and explains anything missed, then moves to the next step.
  • Knowledge checks and a score. Quiz questions sit through the course. A score is recorded and the associate signs off at the end.
  • Competency record. Each completed course is dated and stored on the associate's profile.
  • Workday Learning. Seneca works with Ecolab to build an integration so that completions from Seneca appear on the associate's record in Workday Learning.

Value adds

  • Higher engagement. A conversation holds attention in a way a slide deck or a video on its own does not.
  • Gets them thinking. The associate has to answer at every step, so the job is understood before it is done.
  • Sees exactly what they will be working with. The video of the real job and a 3D model of the equipment sit alongside every question.
  • Ready the day the SOP is approved. One change to the SOP updates the course.
3 The field tool

The field tool is the Seneca app on the associate's phone. Associates use it as a knowledge tool, pulling up the SOP for the job in front of them. They also use it to record how the work was done. Seneca then uses those recordings to help Ecolab improve the job over time.

Walkthrough of quality and continuous improvement. Also online at screen.studio/share/x3lZtAdz.

Knowledge tool

The associate opens the SOP for the job on their phone and pulls up the step they need: the description, the clip, the image, and the hazards and controls.

Record how the work was done

The associate records the job on the phone or on smart glasses. Set steps can ask for a photo or an answer. Each recording is stored against the job, for quality, improvement or job tracking.

Improve over time

Seneca uses the recordings to highlight safety issues, compare how different associates do the job, measure step times, and recommend changes for the next revision of the SOP.

4 Pricing

All figures in US dollars.

Step one

Two month pilot

$11,000USD
One payment for the full pilot. October to November 2026 if funded this year, otherwise the first two months available in 2027.
  • Success criteria agreed first. Objectives, the jobs to capture and the pilot agenda are set before the start. The pallet removal and transport tool and the Safe Moves update are the candidate jobs.
  • Week one on site. A Seneca founder spends the first week with the Institutional safety team, filming the first jobs and setting up templates, reviewers and workflow.
  • Full access for the pilot. Every feature on this page, with no cap on the number of SOPs or courses. Training seats for the pilot group are included.
  • Outputs are Ecolab's to keep. Every SOP and course built during the pilot is exported and retained, whatever the decision afterwards.
Step two

Annual subscription

$60,000USD
Per year, for the division. SOP creation, revision, hosting and reprocessing, with no limit on the number of SOPs.
Training seats
$20USD per associate per year
A seat covers every course that associate takes in the year.
  • Billing. Monthly, every six months or annually.
  • Pilot credit. If the subscription starts in the same year as the pilot, the $11,000 is credited against it.
  • Ongoing development. Features built around Ecolab's workflow, the Workday Learning integration and any custom features.

The annual subscription begins only on Ecolab's decision after the pilot. There is no commitment beyond the pilot.

5 Next steps
1
Now
Feedback

Engineering, training and tech services give written feedback on the sample SOP and course.

2
Next
Approval

The business case and this page go to the approving vice president. Seneca joins a demo call if further stakeholders need one.

3
On approval
Purchase order

The pilot purchase order is raised. A 30 minute call sets the success criteria, the jobs to film and the agenda.

4
Week one
Pilot

A Seneca founder is on site with the Institutional safety team for the first week, then the pilot runs for two months.

5
Month two
Decision

Results are reviewed against the success criteria and the subscription decision goes into the 2027 budget.
